Data Protection & Responsible Use

Terms & Conditions

Last updated: April 2026

Data protection notice: Schools should ensure that they have an appropriate lawful basis and notices for their use of Classroom Watch. Staff may direct data-rights requests to their school administrator or legal@classroom.watch. This page is an interim product notice, not a substitute for a school-specific data-processing agreement or legal advice.

1. Acceptance of Terms

By accessing or using Classroom Watch ("the Service"), you agree to be bound by these Terms and Conditions. If you do not agree, please do not use the Service. These terms apply to all users including school administrators, teachers, and observers.

2. Description of Service

Classroom Watch is a school observation and professional growth platform. It enables schools to schedule observations, capture evidence, set goals aligned to school standards, and generate advisory reports. Schools may enable developmental, peer, walkthrough, and evaluative workflows according to their own policies.

3. User Accounts & School Responsibility

Schools register as organisations. The school administrator is responsible for ensuring staff are invited appropriately and that the platform is used in accordance with staff employment agreements, union obligations, and applicable law. Classroom Watch is not responsible for how observations are used within your institution.

4. Data Ownership

As between the school and Classroom Watch, the school remains responsible for the data it inputs and the lawful basis for using the Service. We process data to operate, secure, support, and improve the Service in accordance with the applicable agreement and documented instructions. We do not sell school observation data or use it for advertising.

5. GDPR & Data Protection

Schools are responsible for their role as data controller where applicable and for configuring and using the Service in line with their legal obligations. We process personal data only as needed to provide and secure the Service. Users may delete their Classroom Watch sign-in account from Settings; this removes access but does not automatically erase school-controlled observation, employment, safeguarding, billing, or audit records that may need to be retained. Individuals may direct access, correction, export, or deletion requests for those records to their school administrator or legal@classroom.watch. A Data Processing Agreement may be available by agreement before a school uses the Service with personal data.

6. Data Retention

Retention and deletion arrangements must be agreed with the school before production use. Do not rely on a fixed retention period unless it is confirmed in writing in the applicable agreement. Schools should export any data they need before ending their use of the Service.

7. Security

We use role-based access controls, tenant-aware record access, private evidence storage, and controlled workflow checks. No specific certification, penetration-testing programme, encryption standard, or notification timeframe is promised here unless confirmed in a written agreement.

8. Acceptable Use

You agree not to use the Service to harass, discriminate against, or unlawfully assess staff. Schools are responsible for their own policies, staff agreements, training, and authorisations for any observation mode, including evaluative workflows. Misuse of the platform may result in account suspension.

9. AI-Generated Content

Some features use artificial intelligence to generate coaching prompts, summaries, and reflective questions. AI-generated content is advisory only and should not be used as the sole basis for employment decisions. School leaders are responsible for the professional use of AI outputs.

10. Recorded Feedback Meetings & AI

Where the feature is enabled, an observer may record or upload a post-observation feedback meeting only after confirming that every participant has been informed and agrees. The private audio is provided through a short-lived link to Base44’s AI service to create a draft transcript, supportive summary, and action points. The observer reviews the draft and chooses whether to share it with the teacher. Schools remain responsible for any required notices, consent, staff agreements, and lawful basis; AI output is not an autonomous assessment or employment decision.

11. Subscription & Billing

Subscriptions are billed monthly or annually depending on your plan. Prices are subject to change with 30 days notice. You may cancel at any time. Refunds are not provided for partial billing periods except where required by law.

12. Limitation of Liability

Classroom Watch is provided "as is." We are not liable for any indirect, incidental, or consequential damages arising from use of the Service. Our total liability to you shall not exceed the fees paid in the 12 months preceding the claim.

13. Changes to Terms

We may update these Terms from time to time. We will notify school administrators by email at least 14 days before material changes take effect. Continued use of the Service after changes constitutes acceptance of the revised Terms.

14. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
